1. Who we are and what this policy covers

This policy explains what personal information we collect through this website, why we collect it, and the choices you have. "We" means RE/MAX Imperial Realty Inc., Brokerage, and the Susan & Jacky Real Estate Group (Susan Xie and Jacky Yang, Brokers) working under it. Ontario has no general private-sector privacy law of its own, so our handling of personal information in commercial activities is governed by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). This policy covers this website and enquiries sent through it. If you become our client, we will collect further information for the trade itself — for example, identity verification required by law — and we will explain that to you at the time.

2. Who is accountable, and how to reach us

Our Broker of Record, Guiming Cai, is accountable for how we handle personal information. You can reach us at:

RE/MAX Imperial Realty Inc., Brokerage
Attn: Guiming Cai, Broker of Record
2390 Bristol Circle, Unit 4, Oakville, ON L6H 6M5
Phone: 416-495-0808

3. What we collect

We collect only what we need to answer you and to prepare the service you asked for:

  • Contact details: your name and email address, and your phone number if you choose to give it.
  • Your enquiry: the topic you select, your message, your language preference, your preferred contact method, and whether you are already working with a REALTOR®.
  • For a home evaluation: the property address, property type, your selling timeline, and whether you are also planning to buy.
  • Consent records: whether you ticked the optional marketing box, the wording shown to you at the time, and when you submitted the form.
  • Technical details sent with the form: the page and language you submitted from, campaign (UTM) tags if you arrived through a tagged link, and the time of submission. Our hosting provider also keeps standard server logs (such as IP address, browser type and time of visit) to run and secure the site.

Please do not send identification documents, financial records or other sensitive material through these forms — we do not need them at this stage, and we will ask for anything further through a safer channel if it becomes necessary.

4. Why we use it

  • To reply to your enquiry and, if you asked for one, to prepare your home evaluation (a comparative market analysis).
  • To provide real estate services if you decide to work with us.
  • To send market updates, new listings and service information by email — only if you ticked the optional consent box.
  • To keep the website working, secure and free of spam, and to understand which pages and campaigns bring visitors to us (using the technical details above).
  • To meet our legal and regulatory obligations, including record-keeping under Ontario real estate law.

We do not sell your personal information.

5. Consent, and how to withdraw it

By submitting a form, you consent to our using the details in it to reply to that enquiry. Marketing emails rest on a separate, optional checkbox — leaving it unticked does not affect your enquiry in any way. You may withdraw consent at any time: click "Unsubscribe" in any marketing email, or contact us using the details in section 2. Withdrawing marketing consent does not delete the record of your original enquiry, and we keep the consent record itself as explained in section 8, so we can show what you agreed to and honour your withdrawal.

6. Who we share it with

Access inside the brokerage is limited to the team members who need the information to serve you. Outside the brokerage, we share personal information only:

  • with service providers who run this website for us — website hosting and email delivery — and only so they can provide those services;
  • with professional advisors (such as lawyers and accountants) under obligations of confidence;
  • where the law requires it or a regulator entitled to it asks for it (for example, the Real Estate Council of Ontario), or to protect our legal rights;
  • in connection with a sale or reorganization of the brokerage, subject to PIPEDA.

7. Processing outside Canada

Our hosting and email delivery providers may store or process information in Canada, the United States or other countries. While information is in another country, it may be subject to that country's laws and lawful access by its authorities. We remain accountable for information we transfer to a service provider, and we require comparable protection by contract or other means.

8. How long we keep it

  • Enquiries and evaluation requests that do not lead to a client relationship: up to 24 months from our last contact with you, then deleted or anonymized.
  • Marketing consent records: while your consent is in effect, and for 24 months after you withdraw it, kept only as proof of consent.
  • Client and trade records: kept as required by law and by the brokerage's record-retention practices, which may be longer than the periods above.

9. Cookies and similar technology

This website does not currently use advertising cookies or third-party analytics cookies. Our hosting provider may use strictly necessary cookies and server logs to deliver the site and protect it against abuse. You can control cookies in your browser settings; the site will still work if you block them. If we add analytics or advertising tools later, we will update this policy first.

10. How we protect it

We use safeguards suited to the sensitivity of the information: access limited to team members who need it, individual password-protected accounts for the mailbox and systems that receive enquiries, and encrypted connections (HTTPS) between your browser and the site. No method of transmission or storage is completely secure, but we take reasonable steps to protect what you send us. If a breach of our safeguards creates a real risk of significant harm to you, we will notify you and report it as PIPEDA requires.

11. Accuracy, access and correction

You may ask to see the personal information we hold about you, and to correct anything that is inaccurate or incomplete. Write to us using the details in section 2. We will confirm your identity before releasing anything, and we will respond within the time the law allows. If we cannot give access to a particular record (for example, because it contains someone else's information or is subject to legal privilege), we will explain why.

12. Questions and complaints

Please raise any privacy question or complaint with us first, using the details in section 2 — most concerns can be settled that way. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada: 30 Victoria Street, Gatineau, QC K1A 1H3; 1-800-282-1376; www.priv.gc.ca/en/report-a-concern/.

13. Changes to this policy

If we change this policy, we will post the updated version on this page and change the "Last updated" date. Significant changes will be reflected in both the English and Chinese versions.

14. Language

This policy is available in English and Chinese, and the two versions carry the same substance. If the two versions differ, the English version prevails.
